The event organizer, Bevy Experiences, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.
Who we are
The Creative Exchange is produced by Bevy LLC, trading as Bevy Experiences, together with ALT+ESC+CREATE (DINECO). Bevy Experiences is the data controller for everything described here — we decide what is collected and why.
Ticket sales are processed by Ticket Tailor and payments by Stripe. Both act on our instructions as data processors; they do not own or sell your data.
Anything to do with your data: hello@joincreativeexchange.com
What this covers
joincreativeexchange.comand its subdomains- The box office at
tickets.joincreativeexchange.com(Ticket Tailor) - The application, co-host and partner forms (Tally)
- The Creator Economy Summit on 23 October 2026 and the Creative Exchange week, 21–26 October 2026
What we collect
If you buy a ticket
| What | Why |
|---|---|
| Name and email | To issue your ticket, admit you on the day, and contact you if anything changes |
| Attendee name on each ticket | So tickets can be transferred, and so we know who is in the room |
| Billing details | Taken by Stripe. We never see or store your card number |
| Dietary requirements | To brief catering |
| Accessibility requirements | To make sure you can get in, sit, see and hear |
| How you heard about us | To know which of our efforts worked |
| Proof of residency or student status | Checked at the door for discounted rates. We look, we don't copy or keep it |
If you apply to the cohort, apply as a co-host, or enquire as a partner
The forms collect what you type: contact details, social handles and audience figures, a bio and photo, your availability, and your answers about what you'd want to make or host.
They also collect things we'd rather not hold and do anyway, because the week is not safe without them: allergies, emergency medication, mobility and water-confidence, and an emergency contact. Two of the days are on the water and one is a full-day charter. Co-host applicants are additionally asked whether they would complete a police character certificate, because part of the programme involves Bahamian teenagers.
This is health and background information, and we treat it accordingly — see Sensitive information below.
Automatically
Standard web and email data: IP address, browser, pages visited, and whether you opened an email we sent you. Ticket Tailor, Tally and our site host each log this. We use it to see what's working, not to build a profile of you.
At the event
The Summit and the week are filmed and photographed. See Filming and photography.
Sensitive information
Allergies, medication, mobility, and anything you tell us about your health are held under explicit consent — you give it by answering the question, and you can withdraw it by emailing us.
We handle it like this:
- Only the people who need it see it. Catering gets a dietary list with no medical detail attached. The charter operator and medic get the water and medication answers for the days they run.
- It is never used for selection. Telling us you can't swim, or that you need step-free access, does not count against an application, and the forms say so.
- It is deleted within 90 days of the event ending, unless there's an insurance or incident reason to keep it longer.
- Police character certificates, if we ask for one, are checked and then destroyed. We record only the date it was seen and that it was clear.
Why we're allowed to hold it
- To perform our contract with you — issuing and honouring your ticket, running the week.
- Consent — marketing emails, health and dietary information, publishing your name and handles in the programme. You can withdraw any of these.
- Legitimate interests — running a safe event, preventing fraudulent ticket purchases, understanding which channels bring people in.
- Legal obligation — tax and payment records.
Who we share it with
Our processors, who work on our instructions and nothing else:
- Ticket Tailor — ticketing and the box office (hosted in the EU)
- Stripe — card payments
- Tally — the application, co-host and partner forms
- Our email provider — event updates and, if you've opted in, the mailing list
- The venue — a name-only guest list, for building access and headcount
- The charter and experience operators — a manifest for the days they run, with the safety information above
Partners and sponsors do not receive your details. They get numbers — how many people came, and a broad sense of who was in the room. If a partner ever wants more than that, we'll ask you first and you'll be able to say no without losing anything.
We do not sell your data. Not to anyone, in any form, ever.
We will disclose information if a Bahamian court or authority requires it, or if someone's safety depends on it.
Where your data goes
We are a Bahamian-run week using a US company and mostly European infrastructure. Ticket Tailor hosts in Ireland and France; Stripe, Tally and our email provider process in the US and the EU. So your information will leave The Bahamas.
Every processor we use is contractually bound to protect it, on standard contractual clauses where the law requires them. Transfers happen because they're necessary to give you what you bought, which is one of the grounds the Bahamian Act allows.
How long we keep it
| Ticket and order records | 7 years — tax and accounting |
| Attendee name and email | 2 years after the event, so we can invite you to the next one |
| Health, dietary, accessibility, emergency contact | 90 days after the event |
| Applications that weren't successful | 12 months, then deleted — we'd rather ask than lose good people |
| Marketing list | Until you unsubscribe |
| Photography and video | Indefinitely, as part of the record of the week |
Filming and photography
The Summit is documented. A production team is on the ground and the cohort creators film throughout — that is a large part of what the week is. By attending you accept that you may appear in photography and video, and that Bevy Experiences, ALT+ESC+CREATE and named partners may use it to promote the Creative Exchange.
If you'd rather not appear, tell us at registration. We'll flag you to the production team and seat you accordingly. You can also ask us later to stop using a specific image of you, and we will, though we can't recall something already published by a third party.
Cookies
Our site and the box office use cookies to keep your basket working, remember your session, and count visits. Nothing we run advertises to you elsewhere or follows you across the web. Your browser can block them; the checkout may not work properly if you do.
Your rights
You can ask us to:
- Show you what we hold about you. We'll answer within 40 days, as the Bahamian Act requires, and usually much sooner.
- Correct anything wrong.
- Delete what we hold, where we don't have to keep it for tax or safety.
- Stop marketing to you — one email, or the unsubscribe link, and it stops.
- Withdraw consent you gave us, at any time.
If you're in the UK or EU, you also have the rights the GDPR gives you, including data portability and the right to object to processing. Ask and we'll honour them.
Email hello@joincreativeexchange.com. We won't make you prove a reason and we won't charge you.
Complaints
Tell us first — hello@joincreativeexchange.com — and we'll try to fix it.
If we don't, you can complain to the Office of the Data Protection Commissioner of The Bahamas, which oversees this Act. If you're in the UK or EU, you can complain to your own supervisory authority instead.
Changes
If we change anything material, we'll update the date at the top and email anyone holding a ticket. We won't quietly widen what we do with your data after you've bought.
Governing law
This policy is governed by the Data Protection (Privacy of Personal Information) Act, 2003 of The Commonwealth of The Bahamas, and by the laws of The Bahamas.
